Founded in 1895, they lead the world in orthopaedic product development, design and manufacture, and
prides themselves on maintaining the highest level of customer support.
DePuy approached Marathon with the task of preparing a wide range of
material for their EDMS; office documentation, manuals, colour slides, brochures and technical literature. Few other suppliers had the technology or management experience to be able to provide an overall solution to their requirements because of the
diversity of material to be scanned.
However, with a background in the preparation of microfilm, microfiche and
aperture cards, combined with the latest scanners for both these, colour image and paper-copy, including
high-speed A4 and A3 document scanners and large format (A0) drawing scanners, Marathon were ideally placed to provide a total solution.
Under an ongoing contract agreement, Marathon undertook to collect the necessary material, transport
it to their secure scanning facility, convert and index the entire archive of material and supply it back in a searchable format for
ease of inclusion in DePuy’s EDMS.
The benefits to DePuy at the completion of the project were considerable; they had removed the need for XXm2 of floor space to unproductive archiving; for the first time since their archives began
they had fully searchable material, accessible by researchers and staff from any of their facilities world-wide; they had protected
their archives from potential harm of fire, flood or other damage by creating off-site back-ups within their
overall disaster recovery strategy.
DePuy have found, as have an increasing numbers of organisations from multi-nationals through to smaller
SME’s, that the cost-saving benefits achieved as a result of digitising their archives can very quickly offset the relatively
inexpensive process of having them professionally digitised and catalogued. This alone, without thought of the
security and business continuation aspects, is a powerful argument for all companies to look seriously at digitising both their
aged archives and also more recent paperwork within a planned ongoing strategy.
Regional Utility Giant goes Digital
Southern Water is responsible for delivering clean, fresh water to around one million households in the South East of England, and
for the treatment and recycling of dirty water from nearly two million households.
They have approximately 104 water supply works collecting and
cleaning water before it is used, and 390 wastewater treatment works treating the water so that it can be returned to the environment, together with 13,300 km of water mains.
As a company they are governed by strict European Union laws
to ensure quality of both fresh and wastewater and pride themselves on maintaining the highest standards, striving to provide
efficient, value for money services for all their customers.
With the combination of a high number of operating sites together with a vast number
of customers, efficiency is paramount in all areas of its operation and the need to improve access to, and
maintenance of records, dictated that a digital solution was preferable.
After an initial consultation period Marathon were selected
for the operation because of their ability to provide a total cost-effective management service, from collection of material from various location across the area, through to the secure
disposal of the mountains of redundant material at the end of the operation.
Marathon’s total solution for Southern Water saw them scanning many different formats; microfilm, microfiche, office documentation, drawing office material, and site and installation plans. The
resulting digital files were then indexed and supplied back to Southern Water for inclusion onto their electronic document management system (EDMS).
The end result of this project brings many benefits to
Southern Water; Considerable time and cost-saving has been achieved where Engineers are able to view all
drawings and other maintenance records from any of their offices without travelling. Management have a better overview and access to archives. Sales staff can view historical files, and the previous risk of loss of essential
archives through fire, flooding or natural disaster has been removed with the files being included in the
company’s overall disaster recovery and back-up strategies.
The strong working partnership between Marathon and Southern Water today sees regular digital archiving activity undertaken in a structured plan to ensure the ongoing efficiency of the
business.
